      Scanner Purchase

Still dealing with the ProSeries scanner snafu. So far they have billed me $922.00 for a scanner I did not receive and there is absolutely nothing I can do from their end to reverse this charge.

Finally went and bought a Muratec MFX-2550. It is a 3 in one. Cost about $2,000.

Printer is 25 per minute, holds 500 sheets.

Copies are 25 Pages per minute, document feeder holds 80 pages

Scans are not specified as to pages per minute. Can color scan and you can name the file you are scanning. You can adjust the size of the scan.
You can even plug a USB drive into it and scan directly to the drive.

So far it works but when scanning old documents, it can jam. Sometimes I will make a copy of the old document and than use this to scan. Also the duplexing is manual so I will make a double-sided document into two singe sided documents and scan.

Larger than the Fujitsu and weighs about 58 pounds.

The good part is I can print from my computer, I can scan from my computer, I can fax from my computer. It is heavy duty enough to print tax returns and scan lots of stuff.

Now I don't know if I want to start scanning old files into the computer or just start with the new files. It would take a month of Sundays to just scan everything in the office.

Also have to set up a set of directories. Thinking of using the client name, year, taxes, tax documents, other data. Got to do this right so it is organized.

      Maybe after October 17

We use it strictly for the fax function. Ours will convert a fax to an email and also store the faxes in a predefined folder on a computer.

We went completely paperless with our Fujitsu Scanner this past year.....it took the better part of the entire summer of 2010 to scan almost 15 years worth of client files, but now it's all digital and every word (adobe 9 function) within the scans (which is usually one file per scan at that time) is searchable. So, I can take a 700 page file and search for all 2009 documents in seconds and scroll through all those pages in minutes. I've been tested this year and it's better than I expected and has saved us thousands of man hours of copying, searching, removing staples, filing, etc. etc. etc.

Now everything is emailable, flash driveable, DVD'able, and readily accessible by the entire office within seconds; with multiple back up precautions of course.

It was definitely a process and we're still tweaking things here and there, but it's well worth it. Was I nervous, sure....best thing I could have done with my files.

Had a client ask for his entire file a few weeks ago....several hundred pages. I usually charge for this and within 5 minutes of his phone request, had it on a dvd, in a padded envelope and in the mail, no charge. I just gave the client the option of paying for us to print them which we explained can be done by himself at a Kinkos or something for far less, not to mention, he'll always have a digital copy of his files for safekeeping.

              Scanning marathon

So you scanned every file. Great.

What is the adobe 9 you mentioned? Is it a program that will work with adobe pdf files?

Currently I have all my scans in a pdf format. Will this adobe 9 make them searchable?

How did you set up your directories or files?

Every single file....we are completely a paperless office; for storage that is. Open cases that I'm working on stay paper until we're finished with the case, be it an audit, Offer, or just an annual tax prep case. Once complete, it gets scanned, backed up 10 different ways, then the physical paperwork gets shredded.

The adobe 9 is their latest version of acrobat that came with the purchase of my Fujitsu.

                Example:
If I have one case file with 150 pages, all 150 pages gets scanned into one long pdf file that get's labeled accordingly. At the end of the day, all the scanned files get converted so that every word, number and character becomes searchable (not available for multiple scans in the previous adobe 7 program). The conversion to make it searchable is literally to highlight the files and one click of the mouse and some time of course; we just click and let it convert as we have a dedicated scan computer because it gets so much work.

As soon as the single scan of this example of 150 pages is complete, it gives you the option to name it. All scans go into one file on an external hard drive, then my secretary converts and moves them into a shared client file database that is available to the office (we only have 4 stations that have access to the client files in case you were wondering).

All the scans are in pdf, but you can set it up to have it saved or scanned in any format....pdf is searchable through adobe 9 and makes for a much smaller file than jpeg, gif, or any other format.
