    Records Storage

    Aloha,

How long do I need to keep the W2s, 941s, and similar records for my live payroll clients?

For my basic 1040 clients I keep a signed 8879 and any document with withholding and nothing else like a simple bank 1099-int. I toss them into a bankers bank and hope never to reference them again. I think it is five years for 8879 related information but I'm not certain. I'm moving to less paper so some of this legacy stuff needs to get destroyed.

I'm looking for best practice for compliance with the lengthly rules that our good friends in Washington DC keep writing.

    Mahalo

There is a thread back in November entitled "Keeping clients records" that has a lengthy discussion about this subject. You will find some answers there.

See Publication 1345 for ERO responsibilities.

        State

And, definitely check your state (Department of Labor?) for payroll record-keeping requirements.
